Keep a private record

Move and Insurance Documentation for a Vinyl Collection

Before boxes arrive or questions get urgent, make a private record of the room. This is for recall, not public value or appraisal.

Private documentation routine

Work shelf by shelf. This checklist stays on this device; keep account, location, and value details in your own private records.

Document the collection as it actually lives

Begin with broad shelf photographs for your own reference, then make closer records for the titles where condition, edition, or sentiment matters. A quick wide view can be as helpful as a detailed entry when you are trying to recreate a shelf after a move.

Keep location and value information private. Your collection can be meaningful without making its whereabouts or its worth public. A personal archive and a private folder are better places for those details than a public Record Room.

Separate inventory from insurance advice

A catalog helps you remember what you own and how it was stored. It is not a replacement for an appraisal, a receipt, or advice from an insurer. If you need coverage guidance, bring the private documentation you have assembled to the appropriate professional.

For a move, label boxes by the shelf sequence you will want to restore, not just by a vague room name. Include a handling note for anything you want kept upright or kept with you.

Make the return easy

On the other side of a move, restore one listening shelf first. Use your photos and shelf notes to rebuild the room gradually, then update only the locations that have truly changed. The seasonal maintenance routine is a good follow-up once the boxes are gone.

Useful questions

A little reassurance before you begin.

Should I publish photos of my collection for insurance?

No. Keep documentation, detailed locations, receipts, and values in a private place. A public Record Room is optional and should only contain what you want to share.

Does MyVinyl provide insurance valuations?

No. MyVinyl can help organize personal collection details, but valuations and coverage decisions belong with qualified appraisers and insurers.
